Acentra seeks an Executive Assistant to join our growing team.

 

Job Summary:

The Executive Assistant provides professional administrative support to Executive leaders, ensuring

their day-to-day operations run smoothly. This role requires a proactive, detail-oriented individual

with excellent organizational and communication skills. The Executive Assistant manages

complex schedules, handles sensitive information with discretion, and supports departmental

goals through reliable coordination, documentation, and project tracking.

***This is a hybrid position (4 days in office and 1 working from home)***

Job Responsibilities:

  • Manage executive calendars and coordinate meetings across multiple stakeholders.
  • Organize logistics for internal and external meetings, including travel arrangements and
  • itineraries.
  • Prepare, edit, and distribute communications, reports, presentations, and other materials.
  • Maintain confidential records, databases, and filing systems.
  • Support internal projects or recurring business processes by coordinating schedules and collecting required documentation.
  • Track deliverables and timelines tied to departmental goals, ensuring follow-up and
  • completion.
  • Help prepare materials for leadership reviews, team meetings, or business updates.
  • Maintain trackers or shared documents to support transparency and accountability.
  • Support expense reporting, budget tracking, and procurement tasks with accuracy and attention to detail.
  • Apply basic math and analytical skills (e.g., calculating percentages, interpreting trends, converting time zones or units) to support operations and planning.
  • Process expense reports and assist with invoice tracking and departmental purchases.
  • Respond to routine inquiries and act as a liaison with internal and external contacts.
  • Ensure compliance with company policies, including those related to HIPAA privacy and security.
  • Manage office supply inventory or administrative processes as needed.
  • Read, understand, and adhere to all corporate policies including policies related to HIPAA and its Privacy and Security Rules.
Qualifications:

Required Qualifications/Experience:

  • High School Diploma required, and a minimum of 6 years of relevant administrative

    experience.

  • Strong written and verbal communication skills.
  • Highly proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools.
  • Ability to multitask, prioritize independently, and maintain attention to detail.
  • Demonstrated discretion in handling confidential information.
  • This is a hybrid position (4 days in office and 1 working from home).

Preferred Qualifications/Experience:

  • Bachelor’s degree.
  • Experience supporting senior leaders in a dynamic, fast-paced environment.
  • Familiarity with handling sensitive or confidential information with discretion.
