We are seeking a detail-oriented and professional Front Desk Administrator and Executive Assistant to join our team. This role will serve as the first point of contact at the front desk to greet Propio’s guests and provide high-level administrative support to executives, including managing calendars, coordinating travel arrangements, and processing expense reports using Concur. The ideal candidate must maintain a high level of discretion and confidentiality when handling sensitive or confidential information.

Responsibilities

  • Greeting and welcoming all guests and vendors at the front desk
  • Understand and execute policies as they relate to building security and maintain a high level of security awareness for the reception area
  • Maintain digital reception software for electronic check-in
  • Process expense reports for C-suite executives
  • Coordinate shipping and mailing

Additional Responsibilities

Perform the following duties as needed.

  • Manage calendars for C-suite executives
  • Coordinate travel bookings for C-suite executives
  • Maintain a strong understanding of daily office operations and serve as back up to the Office Manager
  • Assist with the logistics for internal events, meetings, seminars or conferences
  • Other duties as assigned

Requirements

Experience:

  • 1+ year experience in a front desk service or receptionist role
  • 1+ year experience in an administrative assistant role
  • Working knowledge of Microsoft Office Suite – Outlook, Word, Excel, Access, PowerPoint

Preferred

  • Bachelor’s degree
  • Experience with Concur and Adobe
  • Experience supporting senior leadership with administrative duties such as coordinating travel and calendars

  • Strong written and verbal communication skills
  • Ability to establish workflow priority based on assessment of tasks and consideration of others’ needs
  • Strong ethical standards that guide decision making in ambiguous circumstances
  • Demonstrate flexibility and adaptability in responding to shifting priorities and responsibilities in front office and executive support
  • Ability to learn new technologies and become proficient in desktop systems/internal software
  • Must be able to grasp, lift and carry objects for a short distance weighing up to 10 lbs frequently and 15-20 lbs occasionally
